What Every Hotel Should Know About Guest Directories and Compendiums

Guest directories and compendiums are often the first written communication a hotel has with a guest after check-in — the source for everything from wifi passwords and checkout times to spa menus and local recommendations. Yet many properties still rely on outdated inserts, mismatched paper, or generic binders that undercut the polish of the room around them. A tired compendium can quietly undercut everything the front desk and housekeeping team just got right. For hotels serious about first impressions, a well-designed compendium says as much about the brand as the lobby does.

What Makes a Guest Directory Actually Work

The best directories are organized the way a guest actually thinks, not the way a hotel’s departments are structured. Wifi and checkout information belong up front, dining and spa hours in the middle, and local recommendations near the back — grouped so a guest can find an answer in seconds instead of flipping through pages. A directory that requires a phone call to the front desk has already failed at its job, and each of those calls is a small tax on staff time a clearer layout would have avoided. A simple table of contents on the first page helps guests who are tired or in a hurry to get settled.

Material and build quality matter more here than almost anywhere else in the room. A compendium gets picked up, flipped through, and set back down dozens of times over a single stay, and it has to survive that handling across hundreds of stays before it’s replaced. A flimsy binder looks tired within months, while a well-built cover — in the right material for the property’s positioning — still looks sharp years later, which makes the higher upfront cost easy to justify against a few years of wear.

Branding consistency is easy to overlook but hard to unsee once a guest notices its absence. A directory that doesn’t match the property’s color palette, typography, or overall design language reads as an afterthought, even if the content inside is excellent. The best-run hotels treat the compendium as an extension of the same design system that shows up on the key card, the room service menu, and the lobby signage — a consistency that rarely happens by accident.

Hotels that also run an on-site restaurant often extend the same design language to their hotel menu boards, so the guest experience feels consistent from the room to the dining room.

A guest directory is easy to underinvest in, since it rarely gets the attention a lobby or a guest room does — but it’s one of the few pieces of collateral a guest handles directly, repeatedly, during their stay. Getting the organization, material, and branding right turns a compendium from an afterthought into a quiet extension of the property’s hospitality.
